  • RJS Updates Document Management Software

    January 22, 2008 Alex Woodie

RJS Software has issued a new release of WebDocs, the company’s document management and imaging software for i5/OS and other platforms. With WebDocs version 3, RJS has tightened the product’s security, improved its administration and search functions, and simplified its user interface, among other new features.

RJS describes WebDocs as an “electronic filing cabinet,” in that it can be used to capture, store, manage, and route all kinds of electronic documents, including i5/OS spool files, invoices, work orders, faxes, reports, and video and audio files. The software runs on i5/OS or Windows, and supports a range of user interfaces, from Web browsers to 5250 screens to Java Server Pages (JSPs), giving users the capability to work in an environment that feels comfortable to them.

With WebDocs version 3, announced last week, RJS has worked to improve various aspects of the system. In terms of security, the product now allows administrators to assign users to multiple groups instead of just one group. Similarly, administrators can now define access settings at the document level instead of the folder level. Combined, these two changes should allow management to be more selective in choosing which documents users are allowed to access.

Searches should go faster with version 3 as the result of a new feature that lets administrators define default document types and folders for each user and group. Now, when users perform a search, their drop-down menu will display the default document types, resulting in faster searching with fewer clicks of the mouse, RJS says.

The WebDocs folder structure now allows up to five levels of folders, which RJS says will give system administrators more freedom to create more complex folder structures. Modifications have also been made to improve indexing.

RJS also redesigned WebDocs’ browser interface to be easier to use. With this release, search and routing functions are located at the top of each page, which should make it easier for users to find and use, RJS says. Also, the native System i interface for WebDocs now fully conforms to iSeries screen design standards, RJS says.

Other new goodies for administrators include new maintenance screens that should make it easier to manage and report on WebDocs installations. These new green screens cover some of the new functionality described above, including folder access settings, document type settings, lookup list settings, and report functionality.

WebDocs is available in i5/OS and Windows editions, or can be purchased as a hosted service. There are also professional and SMB versions of the product. The software requires OS/400 V4R3 or higher. For more information, visit www.rjssoftware.com.
