  • E-Mail Storage Solution for Outlook Users from ACOM

    March 1, 2011 Jenny Thomas

We all have too many e-mails, but a new solution from ACOM Solutions can help you get a handle on your inbox. ACOM last week launched EZCM Plug-In, delivering one-click e-mail management for Microsoft Outlook users.

EZContent Manager (EZCM) is a Windows-based content management and workflow system that’s designed to meet the needs of small and mid-size IBM i customers. In addition to serving as a searchable repository for business documents, the software includes a workflow system designed to enable better collaboration among employees, and hopefully reduce the organization’s dependence on paper documents.

With EZCM Plug-In, ACOM has delivered an Outlook plug-in that automatically indexes and stores e-mail messages and attachments in their native formats. The software is designed to simplify the way users interact with e-mail, thereby saving time and money and eliminating errors.

EZCM does away with several manual steps by instantly exporting e-mail messages and their associated attachments directly to the EZCM repository. When installed, an EZCM button will appear in the Outlook toolbar. Users click that button and choose from a drop-down list of document types. User-defined processing automatically saves the e-mail message and any attachments into EZCM, based on the document type selected.

User-defined options automatically link original e-mails with all associated documents in EZCM, which creates an audit trail for management by keeping all attachments permanently linked to their original messages. Document or e-mail searches allow users to quickly see all related material at a glance, and e-mails can be retrieved and displayed complete with all associated attachments in the standard Outlook window.

“Storing messages and attachments in their native formats ensures the integrity of our clients’ data,” says Angela Doolittle, ACOM’s channels product manager, in a press release. “It also flattens the learning curve for end-users, significantly boosting user acceptance and their productivity from day one.”

ACOM claims the EZCM Outlook Plug-in installs quickly and has a small IT footprint that doesn’t strain system resources. ACOM also claims that it scalable enough to be used on a departmental or enterprise-wide basis.

Additional information on EZCM Outlook Plug-in is available here on the ACOM website.
